Below is our interview with Sarah Newman from Trustifi:

Q: Sarah, could you explain the function and advantages of your Trustifi email solution?

A: Trustifi’s patented postmarked email product is a system and device agnostic solution that allows users to easily encrypt their emails and email attachments end-to-end, track email from send to delivery, print, open, and forward, and to sign documents from their device. Trustifi offers immense flexibility in a really cost-effective way: we offer web-based email solutions, app solutions, enterprise solutions, and mail relay solutions.

Q: What advantage does Trustifi have over its competitors?

A: Every email encryption service has its advantages, but we believe that Trustifi is head and shoulders above the rest of the pack. As I mentioned, we offer a system and device agnostic solution that is user-friendly and cost-effective, whether our clients are using our web and app products or they’ve integrated our product into an existing email service. We offer some other major advantages, like our patented postmarked technology, that allows the sender to see the path that their email has taken — from being sent and received, opened, printed, and forwarded. This technology contends legal proof of sending and provides legal chain of evidence.

Q: You mentioned “postmarked email.” Can you tell us what that is?

A: The easiest way to describe postmarked email is this: when you send out a package through FedEx, for example, you get a tracking number. With that tracking number you can see when the package was shipped and from where, and all the stops that the package makes between shipment and delivery. You can see dates, times, and locations. It’s a similar process with our postmarked email.

So say you send an email through any of our solutions — app, web, mail relay, enterprise — our system is going to time and date stamp the email and mark the location from which it was sent. Once the email is delivered, it will get a time and date stamp of delivery. When your recipient opens the email that’s when the magic really happens. The system time and date stamps the open and gathers the IP address and device that opened the email (and will do this for a forward, print and reply, too).

Postmarked email goes beyond a typical email return receipt. Because there is so much tracking, the postmarked email is considered legal proof of sending and provides legal chain of evidence of the contents of the email and attachments. That kind of information can help with everything from countering chargebacks, providing courtroom evidence, improving the collections process, and even ensuring that your employees have read a change to the company handbook.

Q: Can you give us more insights into your software?

A: Trustifi is a cloud-based system making it easy for us to provide our services to the consumer market all the way to large scale enterprises. It allows us to be easily and quickly scalable. Trustifi meets many industry compliance standards, like PCI, FINRA, HIPPA, SEC, ISO 27001, FFIEC. Our encryption stands are AES 256 ciphers used along with TLS/SSL, making our system highly secure when communicating PII and PHI. Our data and time stamps are provided by the NIST.

Q: What are your plans for the future?

A: Our future goal is to change the way the world does business by having all emails tracked and secured. But in the shorter term we want to have as many organizations as we can using our product, to protect their organization and whomever they do business with. For us, it’s not just about making Trustifi a household name, it’s about streamlining communication; it’s about reducing paper waste; it’s about exchanging critical information in the safest, secure and tracked manner. We’re constantly adapting to the ever-changing needs of our existing customers and are actively looking for ways to improve our product. Just a short year ago we only offered a web-based solution. Now we have apps for both iOS and Android, and we offer secure mail relay and enterprise integration solutions.

Q: How would you convince the reader to start using Trustifi?

A: – Before coming to work for Trustifi, I worked for a data provider. Working in the information industry made me acutely aware of how much data is freely given away by the average individual — and how much is inadvertently given away. Because email is so widely used, most folks simply don’t think about how vulnerable their email is to hackers (used in the most broad sense of the word) in the 1.2 seconds from send to delivery. The ubiquity of email means that email addresses are practically as good as social security numbers for unlocking every personal detail of both your personal and business identities.

So when you stop to think about that for a minute, and then think about the way you do business, factoring in that security and compliance are no longer merely regulatory suggestions, but requirements, it makes sense to take a proactive approach to protecting yourself and your business.
That’s the scary part, but we don’t want folks to just focus on the scary points. There are built-in benefits to having a product like Trustifi: real time tracking of your email means never having to wonder if it was received or read; encryption that involves nothing more than having the recipient’s email address and phone number; eSignature capabilities that don’t require additional add-ons.
