For decades paper files, folders and excel spread sheets have been the norm to keep employees, students and patients information records organized. While the excel files are a little more modern, the folders and documents printed in paper are an outdated form of document management that fails compliance and represent a risk for HR departments everywhere.

TrackitEZ is a Florida start-up that aims to solve human resource compliance and credentialing challenges facing not only small business but large corporations, government institutions, school and healthcare agencies. In a very short time, TrackitEZ has compiled thousands of human resource files and is integrating HR departments with their vendors.

Below is our recent interview with Heather Coleman, director of Business Development at TrackitEZ:

Q: Could you provide our readers with a brief introduction to TrackitEZ?

A: TrackitEZ provides a cloud based, record keeping and compliance management platform for Institutions and Human Resources Departments managing any combination of people, things and places. By integrating meta-data, images and third party vendors onto one management platform, TrackitEZ makes policy and legal compliance easier and efficient no matter what one is tracking. From a doctor with state licensing, continuing education and employment credentialing requirements to inspection and licensing requirements for a truck fleet or retail facilities — TrackitEZ is one platform to modernize recordkeeping, forecast and view future needs, integrate third party vendors and avoid legal and statutory risk.

Q: What makes you stand out from your competition?

A: TrackitEZ provides a comprehensive management platform that integrates ordering of image files and collection of meta data to track hundreds of thousands people, objects and facilities. Human Resource Managers do not have any similar options today other than visiting third party websites to manually collect electronic data and images and “copy/pasting” the information onto their desktop folders.

Q: What is wrong with the current way of managing human resource filing and record keeping?

A: Many private businesses as well as government and educational Institutions are still using 1980s technology and processes, which lacks automated tracking, storage and workflow solutions. That is to say an yellow folder in a filing cabinet is not efficient. TrackitEZ replaces not only filing cabinet but automates the ordering and data storage of those very pieces of paper integral to record keeping.

Q: Who are the primary clients of TrackitEZ and what are some of the key challenges you are helping them solve?

A: Currently our primary clients are educational institutes, medical facilities and government municipalities. The biggest challenge is changing from well entrench papers, faxes and filing solutions to cloud based, collaborative data and image capture. The lack of automation creates the risk of failing audits and severe fines for not meeting current federal, state and local laws and regulations. Every company has a time bomb in their compliance files.

Q: What are the challenges of being a start-up?

A: Client development. Not only a sales process but also educating them how to work smarter with software.

Q: How would you convince the reader to start using TrackitEZ?

A: TrackitEZ took into consideration that most HR departments have a little to no budget for software investment. Our platform is affordable and pay-as-you-go. Initial use is free with data storage and recordkeeping volumes gradually increasing monthly spend levels.

Q: What are your plans for the future?

A: Keep solving client compliance and record keeping problem while hoping our installed base grows.
